How to start a travel baseball team
A practical nine-step club startup guide with responsibilities, confirmations and a season-launch worksheet.

Start with decisions people can verify, not a software completion badge. A club plan organizes work; it does not provide insurance, legal advice, field permissions or completed screening.
The nine-step startup worksheet
1. Club foundation
Write the club name, home area, philosophy, season, level and travel expectations. Decide who can approve changes and describe the experience you intend to offer before recruiting.
- Responsible role
- Club organizer
- Practical outcome
- A one-page foundation agreed by organizers
Confirmed by: __________________ Review date: ______________ Open decision: __________________
2. Teams and roster targets
List age groups, authorized staff, roster size and needed positions. Treat targets as planning assumptions, not guaranteed roster spots. Team access remains a separate authorization.
- Responsible role
- Team lead
- Practical outcome
- An age-group and roster-target worksheet
Confirmed by: __________________ Review date: ______________ Open decision: __________________
3. Organization
Identify the operator and private contact, responsibilities and outstanding tasks. Assign one accountable person and a review date to each unresolved decision.
- Responsible role
- Club organizer
- Practical outcome
- An ownership and responsibility checklist
Confirmed by: __________________ Review date: ______________ Open decision: __________________
4. Staff and safety
Track assignments, training references, screening status and emergency planning. Confirm screening, training and safeguarding requirements with the governing organization; marking a worksheet does not complete an external check.
- Responsible role
- Safety lead
- Practical outcome
- Current confirmations and unresolved requirements
Confirmed by: __________________ Review date: ______________ Open decision: __________________
5. Fields and facilities
Record public venue details, booking confirmations, permissions and renewal dates. Confirm field access, surface rules and weather procedures with the venue before advertising a session.
- Responsible role
- Facilities lead
- Practical outcome
- Confirmed field arrangements and alternate plans
Confirmed by: __________________ Review date: ______________ Open decision: __________________
6. Season budget
Itemize costs, roster assumptions, projected dues and funding gaps. Separate forecasts from money actually received. Ask providers for real quotes; do not treat estimates as invoices.
- Responsible role
- Finance lead
- Practical outcome
- A reviewed forecast and manual dues plan
Confirmed by: __________________ Review date: ______________ Open decision: __________________
7. Policies and expectations
Draft handbook, conduct, attendance, communication and refund terms. Seek appropriate external advice. An administrator must adopt the actual version before families consent; a draft or revision cannot inherit older consent.
- Responsible role
- Team administrator
- Practical outcome
- Adopted policies with version and open questions
Confirmed by: __________________ Review date: ______________ Open decision: __________________
8. Recruiting and tryouts
Prepare an approved public profile, real initial sessions, current eligibility source/version and an evaluation rubric. Approval controls discoverability. Applicant identities and callbacks remain private.
- Responsible role
- Recruiting lead
- Practical outcome
- Approved public facts and private evaluation process
Confirmed by: __________________ Review date: ______________ Open decision: __________________
9. Season launch
Review accepted roster, incomplete registration requirements, uniforms, manually recorded dues and first events. Acceptance is not completed onboarding; review each outstanding requirement and communicate the next step.
- Responsible role
- Team administrator
- Practical outcome
- A launch checklist with actual remaining tasks
Confirmed by: __________________ Review date: ______________ Open decision: __________________
Before opening registration
- Confirm field booking and external staff requirements.
- Review roster assumptions against the actual season budget.
- Adopt policies before collecting version-specific guardian consent.
- Confirm public profile approval separately from private team authorization.
Sources and further checks
Always use your event’s current rulebook and the appropriate governing organization. These references support questions, not universal eligibility cutoffs.
